General Office Administration

Typing and filing of all departmental correspondence, documents and records
Ordering and monitoring use of stationery, office and computer supplies and major equipment.
Administering Departmental expenses – departmental grant and CPD activities.
Handling reception duties, telephones (screening calls), queries, visitors and correspondence by fax and e-mail

Diary, Meetings, Minutes and Interviews

Arranging appointments, interviews and meetings. Managing Head of Department diary
Taking minutes of meeting and keeping accurate records
Liaison with Faculty Office and University Departments, as well as clinical Heads of Psychiatry Departments of the teaching hospitals and clinics to co-ordinate academic affairs

Student Academic Programme

Correlation with student co-ordinator in regard to academic programmes – GEMP 2, 3 AND 4 , Registrars, Postgraduates and Interns . This entails updating of handbooks, OSCE formulae, scheduling lecture time-tables compiling of data-banks
Liaison with lecturers, internal and external examiners (caterers if necessary)Advises postgraduates on training programmes
Corresponding with postgraduate applicants, nationally and internationally in regard to posts available
Liaison with South African Medical and Dental Council on matters of registration, especially for foreign students and applicants.
Working with Ethics Committee at University for clearance of protocols and acceptance of projects involving human subjects and drugs
Arrangement of specialist examinations (M.Med and the College of Medicine Fellowship examinations). This involves communicating with students, liaising with external examiners and invigilators on all aspects of the examinations (including travel arrangements of patients from wards etc.)

Staffing Establishment – Gauteng Health Department

Administration of Gauteng Province Hospital staffing establishment for the PsychiatryDepartment , in conjunction with hospital personnel staff and Gauteng Health Department Head Office
Co-ordination of all new appointments, transfers and internal changes of personnel, including that of satellite and outreach programmes and clinics, e.g.Bheki Mlangeni, Southrand, Thelle Moegorane, Witrand hospitals and clinics in Regions A, B and C.
Arrangement of registration and all matters related to the employment of foreign applicants and Supernumerary Staff.
Processing and screening of all applications setting up of interviews and placement of advertisements for vacant posts

Departmental Grants and Research Funds

Administration of Departmental Grants and Research Funds, controlling internal requisitions, requisitions to Buyer, low value orders and major equipment
Liaising with university finance department and managing departmental grants and research funds

Research and Publication

Assisting members of Department in academic research
Compilation of findings, papers, slide presentations
Making available computer facilities, e.g. e-mail, internet etc.
Co-ordination of submission of publications in Anaesthetic and ICU Departments to the Deputy Registrar, Research, for DE purposes. This includes notification of deadlines, gathering and co-ordination of publications in journals, books etc.
Allocation of funds once the DE payments have been madeStaff Records for Faculty Office and Personal Files
Acts as a link with Wits Personnel Office and with Hospital Personnel Office in regard to salaries, promotions, leave and with all affairs relating to SAMDC
Compilation and updating of accurate staff lists for Faculty Office, University Departments, South African Medical and Dental Council
Informing Faculty Office of changes (and dates) in rank and Specialist Qualifications
Checking and correcting Staff lists for University Calendar
Compilation of personal staff records, co-ordinating referees reports and confidential references
Processing Overtime applications
Processing requests for financial assistance for joint staff (to attend congresses etc.)
  • Grade 12 / Diploma / Degree is advantageous
  • Computer literate (MS Office, Excel, PowerPoint, Oracle)
  • Experience in Bookkeeping and administration experience
  • Secretarial and administration skills
  • Knowledge of University procedures and policies
  • Communication skills and good interpersonal relationships
  • Knowledge of hospital procedures
  • Ability to work under pressure, willingness to meet deadlines
  • Accuracy as regards reports and records
